Mobile inspection app vs. Word template — which is actually faster?
The walkthrough takes 1–2 hours. The report takes 4–6. Whether you stay with the Word template or move to a mobile app comes down to one very concrete sum. With real timings, here's how much faster the process gets — and when it isn't worth switching.
The classic Word process, step by step
The walkthrough itself is 1–2 hours on site. That doesn't change. The time goes on what comes after — at home, at the computer. For a mid-sized report (5–10 findings) it looks like this:
- Open the template, save under a new name — 5–10 min.
- Fill in company details, date, header — 10–15 min.
- Type the findings into a table — 45–70 min. Text, risk, deadline, one at a time.
- Insert and resize photos — 80–160 min. The slow part: dragging 30–50 images off the phone and matching each to the right finding.
- Look up references — 45–75 min, copying the relevant clauses finding by finding.
- Review, format, action plan — 25–45 min.
- Print, sign, scan — 15–30 min. The printer, as ever, jams now.
- Save PDF, email, send — 5 min.
Four to six hours of after-work on an average report. Two or three sites a week and that's 60–100 hours of admin a month — Word editing instead of professional work.
The mobile / tablet workflow
Same walkthrough. Everything is just created on site, not after. You capture findings as you go: a one- or two-sentence description, the photo attached to the finding on the spot. When to stay with Word
A mobile app isn't worth it for everyone. At 1–3 walkthroughs a year, a monthly subscription won't pay back — Word is genuinely the better choice. If you work with a bespoke, pixel-perfect corporate template and custom diagrams, switching is extra work that may not repay itself. For some specialists over 60, capturing on a phone is honestly slower than the familiar notebook — here habit beats speed. And there are audit types where the Word format is simply the accepted norm; if it works, don't fix it.
When to switch
At two or more walkthroughs a week, the value of the time saved (4–6 hours per report) clears the subscription in the first month. With more clients and recurring findings, the library alone is the saving: you don't write the 200th “extinguisher inspection overdue” 200 times — you pull it in with one click. In a team (two or more specialists on one portfolio), a shared workspace ends the “which is the latest version?” question. And on the client side: send the report two days later and you're the slow one; hand it over on site and you're the professional.
Return on investment, in numbers
The after-work on one report is 4–6 hours. Value your time at €30–60 an hour and that's €120–360 tied up per document. Against a plan that starts at €39/month, the maths works out after the first report or two. Everything after that is time you get back — several walkthroughs a week means the difference is measured in whole working days a month.
