Eight in the evening. The walkthrough was this morning, the Word file is half-finished, the photos are scattered across your gallery, and the printer — as always — has just jammed. Sound familiar? A site inspection report has traditionally been a 4–6 hour evening job. Not because it's hard — because it's fragmented. It can be 5 minutes, on site, from your phone.

What the report is really for

An inspection report proves three things. That the specialist was there, saw it, documented it. That the findings were captured with a photo, weighted by risk, backed by a reference. And that the client knows exactly what to fix, by when, and who does it. After an audit, an inspection or a claim, it's this document that counts — not your memory.

Why a 1-hour walkthrough becomes 4–6 hours

On site you write in a notebook, sketch the odd diagram, take photos on your phone — 30–50 of them on a mid-sized site. You get home, open the Word template, retype the handwriting. Then the most irritating part: pasting the photos in one by one against the right finding. Resize. Caption. Reorder. Then risk ratings, deadlines, an action plan. Print (the printer jams now). Get it signed, scan, email.

Four to six hours per report. For someone visiting two or three sites a week, that's 60–100 hours a month — admin instead of the actual work. Half a month of working time, spent shuffling photos.

The six-step on-site process

3. Risk in one tap — on a five-level scale (None / Low / Medium / High / Critical). Rename it for your trade: “compliance” for food safety, “deviation” for an auditor, “damage category” for a loss adjuster.

5. Sign on site — with a finger on the screen, or a saved signature. Up to 4 participants can sign on a single walkthrough.
6. Finalise — PDF and Word generate automatically. “Send” opens the email in your own client (Gmail, Outlook, Apple Mail) with the file attached and the subject filled in. It goes from your address — not a grey system one — so the reply comes back to you.

What it has to contain to be professional

The format is the same as the classic paper version — it just assembles digitally. The header carries your name and company, your credential number, the client's details, the site address and the date; the body carries the findings with photos, risk, references and the participants' signatures.
