20 minutes at the desk — the workflow if you'd rather not use your phone on site

Not everyone wants to stand on site holding a phone. One colleague of ours — over 50, 25 years as a fire- and safety adviser — jots findings on paper, takes photos on his phone, and that's it in the field. The report comes together at the desk. Twenty minutes: not the five you get doing everything on site from your phone, but nothing like 4–6 hours of Word.

Why not the phone

“The phone isn't my friend. I type slowly on it, and I can't take the findings in on that screen.”

We won't argue with that. On a computer TUZKEMPRO does exactly what it does on a phone — just with comfortable typing (or dictation), a bigger screen, and a findings library that's easier to scan.

The workflow that works for him: he gets back to the office with the photos and the paper notes. He moves the pictures off the phone via Google Drive, OneDrive or a cable — two minutes. The findings library does the work for you

This is where it gets interesting. Most findings — extinguisher inspection overdue, emergency light out, gas store unlabelled, escape route blocked — are already in the library. One click and it's in the report. Add a photo, one tap for the risk, done.

Ten to fifteen findings → five to seven minutes.

Dictation — for anything not in the library yet

Whatever isn't in the library — a brand-new case, an unusual problem — he doesn't type. He uses his computer's built-in dictation and reads the note into the microphone; the text lands in the description field. A few seconds. (On Windows that's the Win + H shortcut — free, built in. We don't add it; we just show you how to use it alongside the library.)

The freshly captured finding gets added to the library with one click. Next time something similar comes up, he picks it from the list — no dictating it again.

The library grows by itself

That's the secret of this workflow. After the first 5–10 walkthroughs the library is rich enough that 80% of a new report is click-and-pick. The other 20% he dictates or types — quickly, because those are the new, rare cases.

After three months the 20 minutes drops to 12–15. After six, an average report comes together in under 10. He isn't working more — the system is working for him.

What you give up

This isn't TUZKEMPRO's “official” field workflow — it's an alternative, and it costs you two things.

The signature doesn't go on at the site. The client has to send back a signed copy by email afterwards, or sign in person next time. Still far better than a Word file with no photos.

The report isn't ready immediately. If your client expects the PDF within an hour of the walkthrough, this won't do it. But if you've a 2–3 hour drive between jobs anyway, that's not a concern.

Who it's for

Anyone who dislikes a small screen. Whose eyes aren't 20 any more. Whose phone “isn't their friend”. Who dictates faster than they type. Who's driving home from a longer trip anyway — for them it's ideal. Paper and photos on site, 20 minutes at the desk. No Word at home, no printer, no pasting pictures one by one.

The saving here isn't 4–6 hours → 5 minutes, but 4–6 hours → 20 minutes. That's still 80–90% of your time back.
